An invoice arrives as a PDF. Someone opens it, finds the supplier details, checks the date, reads the amount, and enters the information into the accounting system. Then they check the entry against the original document.
The file is digital. The work is not automated. For a team handling invoices this way, the opportunity is to give people a better starting point: prepared information they can review, rather than blank fields they must fill.

Connecting invoice documents to accounting work
Technanosoft built an AI OCR application that extracts structured invoice data, supports human review and correction, and connects with QuickBooks APIs. Its purpose was to bring document processing and accounting integration into a connected workflow.

02 THE CHALLENGE
Every invoice creates another round of manual work.
A straightforward invoice might be easy to enter. An unclear document needs a closer look. A missing detail creates another task. A correction means reopening the document and checking the record again.
As the workload grows, so do the repetitions. Hiring another person may distribute the work, but it does not remove the steps that make the process time-consuming.

Software can assist with reading and preparing document data. Reviewing uncertain information and making accounting decisions still require appropriate controls. The objective was to stop making people start every record from scratch.

Three connected functions address three different parts of the problem: invoice data extraction, review and correction, and QuickBooks integration.
Turn document content into usable information
OCR, or optical character recognition, reads text from documents. AI document processing goes further by identifying useful information and organizing it into fields, such as the supplier, invoice date, reference number, and total.
The important change is from a document someone must read to information software can work with. But extraction alone is not the finished workflow. Extracted values are useful when someone can check them and move them into the next stage without rebuilding the record manually.

04 HUMAN REVIEW
Information to review. Less preparation to redo.
An AI-generated result should not be treated as proof that every field is correct. Document quality, layout changes, and unfamiliar formats can affect extraction. An uncertain value should lead to a check, not an assumption.
Document-processing guidance from Microsoft also explains the role of human review when interpreting extraction results. This is general guidance, not a statement about the technology used in this project.
What the difference looks like in everyday work
Consider an invoice with clear supplier information and an amount, but a date that is difficult to read. In a fully manual process, a person must enter the clear information and investigate the unclear detail. In a reviewed AI workflow, the clear information can already be prepared for checking.

The clear information is ready to check. The unclear date still needs a person.
The person still needs to resolve the date, but does not necessarily need to recreate the rest of the entry. The difficult part does not have to bring all the straightforward work with it.

A useful workflow continues beyond extraction.
The project’s QuickBooks integration provides the connection between extracted document data and the accounting workflow. The build also includes a review queue and error-handling support.

A meaningful evaluation should include the time spent preparing data, reviewing it, correcting exceptions, and completing the accounting handoff. Otherwise, a fast extraction step could hide a slow overall workflow.
